How to request deletion of your data

You can ask us to delete personal data that we hold about you by emailing info@consultonline.uk with the subject line "Data deletion request".

To help us find the right records, please include the information that applies to your request, such as your name, email address, WhatsApp phone number, the project or consultation name and whether your request relates to a website account, consultation response, contact enquiry, website chatbot conversation or WhatsApp chatbot conversation.

We may need to verify your identity before acting on a request. If your request relates to a consultation where another organisation is the data controller, we may forward the request to that organisation or help them respond.

What we can delete

We will assess each request under applicable data protection law. In many cases we can delete or anonymise account records, contact enquiries, chatbot conversation records, WhatsApp chatbot data, marketing preferences or other personal data that we no longer need.

Some data may need to be retained where required for legal, contractual, security, fraud-prevention, audit, dispute-resolution, public-record, planning or consultation reporting purposes. Where we cannot delete something immediately, we will explain why and, where possible, restrict or minimise further processing.

WhatsApp chatbot requests

If your request relates to WhatsApp, please include the phone number you used to message the consultation chatbot. We use this only to identify the relevant conversation records and handle your request.

Deleting data from ConsultOnline does not automatically delete information that WhatsApp or Meta may process under their own terms and privacy notices. You may also need to use WhatsApp or Meta privacy controls for data held directly by them.

Response time

We aim to respond to valid deletion requests within one month. If a request is complex or we receive multiple requests from you, we may need longer as permitted by law, but we will let you know.
